The AR/Payroll Specialist is a dual-function, onsite contract role (3-4 months) based in Fremont, CA. This position supports financial and clerical operations with a specific workload split of 60% Accounts Receivable and 40% Payroll. Pay Range: $73,000 - $80,000
Schedule: Flexible start (7:00 AM - 9:00 AM)
Responsibilities:
Accounts Receivable (60%)
Invoicing & Documentation: Match shipping documents, issue sales invoices, and maintain domestic/international sales records.
Reconciliation: Perform monthly AR, prepayment, and customer deposit reconciliations.
Cash Application: Apply customer payments and resolve outstanding balances or payment disputes.
Credit Management: Review and update customer credit lines and terms.
Reporting: Prepare monthly shipping logs and sales reports using proper account coding.
Payroll (40%)
Processing: Review timecards, track PTO/sick time, and ensure overtime approvals.
System Maintenance: Update pay rates, benefit accruals, and deductions in ADP Workforce Now.
Compliance & Audit: Ensure federal/state regulation compliance, resolve discrepancies, and support annual 401K audits.
Financial Integration: Process commissions, bonuses, and manual termination checks; assist with payroll-to-GL data conversion.
Working hours: 8:00 AM - 5:00 PM
Skills:
ERP Systems: Experience with Expandable (though training is provided).
Industry Knowledge: Experience with international sales records and matching complex shipping/logistics documentation.
Interpersonal: Ability to maintain relationships with overseas branches and thrive in a multicultural environment.
Adaptability: A proactive "willingness to take on new tasks" and assist the HR Manager as needed.

Experience: 5+ years of Accounts Receivable experience AND 5+ years of payroll experience.
Technical: Absolute proficiency in ADP Workforce Now (Required) and Microsoft Excel/Word.
Education: BA/BS degree in Accounting or Finance.
Subject Matter Expertise: Strong understanding of general accounting processes and payroll regulations (Federal/State).
Core Competencies: Extreme attention to detail, organizational skills, and effective communication.
