As a Client Service Specialist, you are a leader in client relations, dedicated to providing excellent service to both internal team members and external guests. You will be responsible for creating a positive first impression by professionally greeting visitors, managing conference room logistics, and providing essential administrative support. This role requires a blend of hospitality, technical coordination, and basic accounting functions to ensure our firm operates at the highest level of excellence. You'll work in a supportive, fast-paced environment where your ability to multitask and anticipate needs will help our business and our clients move forward confidently.
Responsibilities:
Client & Guest Services: Act as the first point of contact by greeting visitors, confirming arrival details, escorting guests to meeting rooms, and offering beverages to ensure a "concierge" experience.
Conference Room Management: Open and prepare meeting spaces daily, maintain a professional appearance between sessions, and reset tabletop materials. You will also manage the conference room scheduler, resolving conflicts and confirming reservations via email.
Technical & Communications Support: Connect video conferencing technology for meetings as needed. Manage high-volume incoming calls, routing them to the appropriate personnel using consultative transfers and maintaining an accurate office telephone directory.
Accounting Functions: Assist with firm operating and trust account deposits, including scanning client checks, reconciling wire activity, and accurately entering filing fee charges into the system.
Working hours: 8:00 AM - 5:00 PM
Skills:
Experience working within a Law Firm environment.
Strong "forward-thinking" mindset-the ability to anticipate trends and act proactively.
Innovation and design skills with an openness to new ideas and creative problem-solving.
Advanced coordination skills for special events, including moving furniture and managing catering setups.

Bachelors
Experience:
1-4 years
Qualifications:
Bachelor???s degree (B.A.) or two years of related experience/training; or an equivalent combination of education and experience.
Exceptional communication skills characterized by tact, diplomacy, and a courteous professional manner.
Adequate typing skills and proficiency with Word Processing software and internet services.
Strong mathematical skills (calculating rates, ratios, and percentages) for accounting support.
Ability to solve practical problems and handle multiple projects simultaneously in a professional setting.
Physical ability to carry and balance beverage trays, set up catering orders, and move furniture for meetings.
