- Predictable delivery: Workflows are planned rather than reactive, resulting in predictable delivery timelines, fewer missed deadlines, and minimal last-minute emergencies.
- Balanced capacity: Staff workloads are balanced and clearly prioritized, reducing confusion, rework, and dependency on specific individuals.
- Operational discipline: Clean job and system handoffs, strong internal controls, and lower error rates support compliance and quality without adding friction.
- Scalable growth: The firm scales without chaos, using data-driven insights to guide staffing, pricing, and resource decisions.
Responsibilities:
? Serve as the primary owner of all TaxDome pipelines, including:
? Ensure every client job:
- Is in the correct pipeline
- Has an assigned owner
- Has a realistic due date
- Is actively moving through stages
- Has an accurate client-facing status
? Monitor pipeline aging daily and resolve stagnant tasks, misrouted work, tasks sitting without owners.
? Maintain pipeline hygiene so dashboards reflect reality
? Maintain and optimize pipeline automation
? Create, maintain, and refine task templates, recurring automations & due date logic.
? Ensure automations support capacity rather than overload it
? Adjust workflows seasonally (tax season vs. off-season)
? Maintain a real-time view of staff capacity, backlog volume, and upcoming deadlines.
? Assign and rebalance work inside TaxDome based on weekly capacity, role, and skill alignment, and deadline priority
? Forecast capacity needs for tax season, payroll spikes, and cleanup surges.
? Identify early when outsourcing is required, deadlines must be extended, or new hires are justified.
