Responsibilities:
Office Leadership: Manage all office functions, maintain a highly organized workspace, and proactively improve administrative processes.
Customer Service: Serve as the first point of contact for calls and inquiries. Confidently answer questions, resolve concerns, and ensure top-tier customer satisfaction.
Estimating & Quoting: Format project details from arborists into professional quotes. Send estimates to clients and follow up consistently to secure new business.
Financial & Billing: Oversee the billing lifecycle. Process invoices, post payments, handle Accounts Receivable (A/R), and manage fundamental Accounts Payable (A/P) duties. Address all client billing questions.
Scheduling & Dispatch: Manage the company calendar, schedule tree service crews, optimize routing, and communicate schedule changes to clients and field staff.
Permitting & Compliance: Obtain necessary city/county tree removal permits and maintain up-to-date insurance and fleet registration records.
Data Management: Maintain accurate client records, job histories, and financial data in company systems.
Working hours: 7:00 AM - 12:00 PM
Skills:
Communication: Exceptional verbal and written communication skills with a polite, professional demeanor.
Organization: Impeccable attention to detail and ability to seamlessly multitask in a fast-paced environment

Experience:
1-4 years
Qualifications:
Experience: 3+ years in office administration or management. Background in tree service, landscaping, or construction is a plus.
Self-Starter: Ability to work independently, take initiative, and manage multiple priorities efficiently without constant supervision.
Financial Acumen: Experience with basic bookkeeping, invoicing, and estimates.
Technical Proficiency: Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new industry-specific software.
