re applications are in the various stages of the process, all with the objective to meet strict occupancy deadlines for new affordable housing developments. The Office Coordinator will be the main liaison with the property management company, Always With Integrity (AWI), who will managethe compliance, technical, and approval aspects of the lease-up process.
Responsibilities:
??? Coordinate office operations, staff schedules, calendar management and client
interface.
??? Supervise the lease-up administration and work with third-party property
management staff (AWI) to ensure lease-up timelines and deliverables are achieved.
??? Provide timely feedback to management on staffing needs, office operations and
required benchmarks.
??? Build and maintain strong customer relationships with prospective and approved
residents through exceptional service.
??? Collaborate with executive leadership to address applicant needs, compliance
guidelines, identify trends, and drive operational improvements.
??? Track and analyze the efficiency and applicant experience of the lease-up and
propose system improvements and workflow priorities to address any deficiencies.
??? Work well with a team. Be a thought partner in highlighting challenges and
developing solutions.
??? Effectively communicate with internal partners, including AWI and other staff, and
also with external stakeholders including contacts for employment verifications,
agencies making referrals, and other stakeholders.
??? Manage application timelines, including appointments and necessary follow-ups
with applicants in a timely manner to ensure an effective applicant pipeline.
??? Create a collaborative and motivated environment where all team members feel
supported, knowledgeable about status, and motivated to work in the team.
??? Track the status of all active files and ensure timely progress on all files.
??? Prepare status reports for SHE and AWI, including analyzing and diagnosing lease-
up delays or challenges, and trends in applications (i.e. not enough applicants for
three bedroom units).
??? May be required to work some holidays, weekends and/or evenings.

- Strong project management and leadership abilities.
- Excellent customer service and communication skills.
- Experience supervising staff and teams.
- Experience with office administration and meeting project deadlines
- Ability and willingness to adapt communication and service delivery to meet the needs of
individuals from diverse cultural, socioeconomic, educational, and housing backgrounds.
- Comfort with technology, including Microsoft Outlook, Microsoft Excel, virtual meeting
platforms, web-based appointment scheduling platforms, and other web-based
applications.
