Spherion is seeking a highly organized and motivated individual to be the administrative and logistical backbone as a Project Administrator of our project management team, allowing our Project Managers to focus on field operations and client relations. Based in Midland, MI, this subcontractor performs work encompassing Midland and the entire northern and western regions of the state. The Project Administrator is a critical administrative role responsible for managing all project-related documentation, communication, and logistics. This position supports Project Managers from pre-construction through project closeout, ensuring all necessary paperwork, contracts, and internal tracking systems are accurate and current.

Responsibilities:
The core duties of this role revolve around documentation, organization, and communication in a high-volume environment:
- Project & Documentation Management:
- -Document Control: Establish and maintain comprehensive digital and physical project files, logs, and tracking systems for all active jobs.
- -Submittals & RFIs: Manage the Request for Information (RFI) and Submittal processes, ensuring timely routing, tracking, and filing of all related documentation between the office, subcontractors, and General Contractors.
- -Contract Administration Support: Prepare, organize, and track subcontractor agreements, work orders, change orders, and purchase orders (POs) for Project Manager review and execution.
- -Project Tracking: Assist Project Managers by maintaining updated project schedules, progress reports, and job status logs.
- -Permitting: Assist with research and compilation of documentation necessary for municipal permits and regulatory compliance.
- -Subcontractor/Vendor Liaison: Serve as a primary point of contact for subcontractors and vendors, assisting with communication regarding scope of work, scheduling, and documentation needs.
- -Bidding Support: Assist in compiling necessary documents for bid packages and proposals, including reaching out to vendors and suppliers for quotes and organizing the received information.
- -Office Administration: Provide general administrative support to the office team, including answering main phone lines, organizing meetings, handling correspondence, and ordering office supplies.
- -Financial Support (Non-Bookkeeping): Assist in the administrative process of tracking costs associated with change orders. Collect and organize invoices and subcontractor payment applications for review by the Project Manager and processing by the Accounting department.
Skills:
- Previous professional experience in the construction, engineering, architecture, or related industry is preferred.
- Familiarity with construction project workflows, terminology (e.g., RFI, Submittal, Change Order), and project management software (e.g., Procore, Viewpoint, etc.) is a plus.
Qualifications:
- Superior organizational skills, meticulous attention to detail, and a commitment to accuracy are essential.
- High level of proficiency with Microsoft Office Suite (Outlook, Word, and especially Excel) for tracking, reporting, and documentation.
- Excellent written and verbal communication skills; ability to interact professionally with project managers, clients, subcontractors, and vendors.
