Scheduling & Trackers: Maintains class schedules, room assignments, calendars, contact lists, coverage plans, and trackers for all Adult Education activities.Absence Logging: Documents instructor and volunteer availability, absences, call offs, schedule changes, substitute needs, and coverage concerns, updating affected parties and leadership.Coverage & Communications: Coordinates coverage, classroom assignments, and schedule adjustments. Prepares and distributes approved schedules, reminders, agendas, notes, checklists, and updates.Program Records: Maintains accurate rosters, registrations, attendance, contact info, assignments, volunteer records, and files while protecting confidential data. Enters data into ETO and approved databases.Offerings & Logistics: Supports logistical needs for ELL, Citizenship Prep, Digital Literacy, Financial Literacy, Rosetta Stone, and Family Literacy. Coordinates room setup, materials, tech/facilities requests, supply inventories, and purchase requests.Events, Outreach & Registration: Assists with registration, orientation, class formation, retention outreach, testing appointments, Family Literacy Days, workshops, and special programming.Support & Environment: Helps access virtual classes, computer labs, Rosetta Stone, email, and learning tools. Fosters a welcoming, respectful, and culturally responsive space.Operational Hub & Escalations: Serves as central contact for scheduling, reminders, materials, and tech instructions. Tracks volunteer hours and orients staff/volunteers. Refers performance, policy, and curriculum concerns to leadership.Assessments & Compliance: Coordinates CASAS testing, rosters, room setups, and follow ups. Assists with test administration when trained, reviews data completeness, and supports grant, audit, and compliance reporting.Instructional & Classroom Support: Provides learning support in classrooms, computer labs, or virtual settings using established lesson plans. Assists instructors with check in, materials, activities, and transitions. Facilitates approved activities without developing independent curriculum.

Associate or bachelor's degree in education, TESOL, adult education, business administration, or a related field.Prior experience in adult education, education, non profit services, family literacy, workforce development, or a related direct service setting.Experience coordinating schedules, registrations, records, communications, assessments, volunteers, or administrative processes.Experience supporting adult learners, English Language Learners, community volunteers, or classroom technology.Experience using CASAS, Enterprise Outcomes, or information system databases.
High school diploma or equivalent.Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel), internet-based learning tools, and electronic data or recordkeeping systems.Current First Aid and CPR certifications or ability to obtain within the timeframe established by the organization.Valid Florida driver's license with the ability to meet organizational driving requirements, maintain an acceptable driving record, and active automobile insurance when work related driving is assigned.Successful completion of required fingerprinting, background screening, and eligibility requirements.Strong organizational, accuracy, time management, and multi tasking skills across daytime and evening programming schedules.Professional phone etiquette, front facing customer service skills, sound judgment, and commitment to protecting confidential, volunteer, and employee information.Physical ability to sit, stand, walk, bend, reach, and move across offices, classrooms, labs, and event spaces for extended periods.Ability to lift, carry, move, or arrange classroom supplies, technology, or equipment weighing up to 25 pounds.
