Responsibilities:
Handle over 500+ incoming calls daily with professionalism and efficiency.
Schedule patient appointments, including new patients, reschedules, and same-day urgent visits.
Manage the appointment waitlist and tickler system to ensure timely patient follow-up.
Review daily provider schedules to maximize appointment utilization.
Cross-check schedules between Athenahealth and QGenda systems for accuracy.
Collect copays and outstanding balances via phone
Direct billing issues to the appropriate department.
Register new patients and update existing patient demographics and insurance information.
Working hours: 8:00 AM - 5:00 PM
Skills:
Monitor and manage task buckets and label or assign tasks appropriately.
Page doctors for messages, office consults, and hospital follow-ups.
Maintain strict patient confidentiality and HIPAA compliance.
Send new patient paperwork and manage outbound mail, including sympathy cards.
Work the "Lost to Follow-Up" report monthly to ensure patient continuity of care.
Education:
High School
Experience:
1-4 years
Qualifications:
High School Diploma or GED
Previous experience in a medical front office, call center, or patient services role.
Strong communication and telephone etiquette skills.
Proficiency in Athenahealth, QGenda, or similar scheduling/EMR systems preferred.
Ability to multitask in a high-volume, fast-paced healthcare environment.
Excellent organizational skills and attention to detail.
Knowledge of insurance verification and billing procedures is a plus.
