Responsibilities:
- Dynamic Dispatching: Build and adjust daily routes for service crews, reacting in real-time to emergencies or delays to keep operations running smoothly.
- Customer Advocacy: Act as the primary point of contact, handling incoming inquiries via phone and email, providing project updates, and ensuring a professional, warm experience.
- Financial & Admin Support: Manage accounts receivable tasks including invoicing, payment processing, and follow-ups using QuickBooks.
- Logistics Coordination: Anticipate upcoming job needs by ordering parts and equipment, tracking shipments, and communicating any inventory shortages to the team.
- Documentation Management: Prepare and update annual service agreements and maintain accurate digital records within Google Workspace.
Skills:
- Industry Experience: Prior experience in dispatching or office coordination within the service or construction industries (HVAC, plumbing, etc.) is a plus.
- Billing Background: Familiarity with basic accounting principles or accounts receivable workflows.
- Adaptability: Someone who thrives in a small-office environment and is comfortable wearing multiple hats.
Qualifications:
- Technical Proficiency: Strong, hands-on experience using QuickBooks and Google Workspace (Gmail, Sheets, and Drive).
- Problem-Solving Skills: A "can-do" attitude with the ability to troubleshoot scheduling conflicts and customer concerns calmly and independently.
- Communication: Exceptional verbal and written communication skills for heavy email and phone interaction.
- Reliability: A consistent track record of punctuality and a team-first mindset.
