Responsibilities:
In this role, you will be the primary point of contact for customer inquiries related to open invoices, statements, and payment information. You'll be responsible for promptly and accurately updating customer master files, including contact, address, and credit card details. A key part of your day will involve proactively communicating with customers to resolve account balance discrepancies, such as unapplied payments or outstanding invoices. To succeed, you'll need to be comfortable making phone calls and providing friendly, professional support. In addition to your Accounts Receivable duties, you will also play a crucial role in our office's general administrative functions, including filing for Accounts Payable and assisting with our ongoing records scanning project.
Please note, this role does not involve processing payments.
Working hours: 9:00 AM - 5:00 PM
Skills:
Respond to customer emails requesting information on open invoices, statements, and invoice copies.
Process updates to customer master files (contact, email, P.O., address, and credit card changes).
Proactively contact customers to resolve account balance issues, including unapplied payments and old invoices.
Assist with Accounts Payable filing.
Support the office's records scanning project.
Education:
High School
Experience:
1-4 years
Qualifications:
Strong customer service and phone skills.
Excellent organizational and communication abilities.
Detail-oriented and proficient in managing multiple tasks.
Experience with administrative or office support roles is a plus.
Monitor accounts for non-payment and delayed payments.
Follow up with customers regarding outstanding balances.
Apply payments to customer accounts and reconcile discrepancies.
Assist with month-end closing and reporting related to AR.
Inventory Support:
Assist with inventory management tasks as needed, including data entry, stock level checks, and coordination with warehouse staff.
Help ensure inventory records are accurate and up to date.
Working hours: 8:00 AM - 5:00 PM
Skills:
Bilingual (English/Spanish) is a plus.
Experience in a manufacturing environment is a strong advantage.
Familiarity with CRM, order management, and inventory systems. Work Environment:
On-site at our Bonita Springs, FL location.

3+ years of experience in customer service, accounts receivable, or order entry.
Proficiency in Microsoft Office (especially Excel); experience with accounting or ERP systems (e.g., OHM, QuickBooks, NetSuite, SAP) is a plus.
Strong attention to detail and organizational skills.
Excellent verbal and written communication skills.
Ability to multitask and prioritize in a fast-paced environment.
