- Primary support to Client Liaison/Corporate Scheduler and Operations/Service teams with focus tasks including: - Answer, qualify and forward incoming calls and emails to appropriate personnel. - Coordinate, schedule, launch and confirm meetings with clients, prospects, vendors, centers of influences, and others. Experience with Calendly, a plus. - Take messages and action as needed and follow up proactively. - Manage multiple calendars and inboxes via Outlook. - Set up meeting items including Zoom links and conference calls using speakerphones. - Deliver general information to clients and team via various modes of communication. - Keep the kitchen tidy, presentable, inventoried and stocked. - Keep front lobby tidy, presentable and stocked as needed (if Client Liaison is unavailable). - Schedule internal meetings as needed. - Process incoming and outgoing client correspondence via USPS Mail, Fed Ex, UPS, etc. - Order Office Supplies, including snacks and drinks, for clients and staff. - Coordination with the Client Liaison/Corporate Scheduler to maintain front desk coverage (during lunch breaks/focus time/PTO)- Working within the CRM system to maintain client records, lists, and data.- Create and maintain existing action templates/workflows.- Data entry and report generation are required.- Processing checks and client paperwork.- Preparing internal and external (client facing) reports; scanning.- Sending internal office wide communications (Massage Monday/Monthly Birthday Cards/Daily Update).- Collaborate with departments and team members as needed.- Special projects and additional administrative tasks as needed.
