This role is expected to comply with all company procedures related to production, safety, and quality. The Administrative & Logistics Coordinator will interact with multiple departments and play a key role in ensuring smooth workflow across teams.
The Administrative & Logistics Coordinator is accountable for executing a variety of administrative and logistics functions with accuracy, efficiency, and professionalism, supporting the smooth operation of company processes.
Responsibilities:
Provide administrative and clerical support to the sales administration and logistics teams, including preparing spreadsheets, reports, correspondence, and various business documents.
Process freight billing and related documentation using SAP.
Coordinate logistics activities including scheduling shipments, obtaining freight quotes, arranging carrier pickups/deliveries, and tracking shipment status, costs, and timelines.
Review and log international shipping documentation for accuracy and compliance.
Create pro forma invoices for customs clearance purposes.
Review and code vendor invoices for approval and payment processing.
Handle inbound and outbound phone inquiries; manage physical and digital filing systems; address customer concerns; and track documentation for billing purposes.
Process domestic freight claims and perform freight rate analysis; support internal freight requests across departments.
Perform additional administrative and logistics tasks as directed by the supervisor.
Working hours: 8:00 AM - 5:00 PM
Skills:
Education & Training
High school diploma required; additional education or training may be considered an asset.
Technical Skills & Abilities
Proficient in Microsoft Office Suite, particularly Excel and Word.
Ability to follow written and verbal instructions, including diagrams and schedules.
Strong organizational and multitasking skills in a fast-paced environment.
Excellent attention to detail and problem-solving abilities.
Strong written and verbal communication skills.
Must be willing to work extended hours when necessary to meet deadlines.

Experience:
1-4 years
Qualifications:
1?3 years of relevant experience in administrative or logistics support.
Demonstrated ability to manage high volumes of paperwork with precision.
Experience in demanding administrative roles that require a high level of accuracy and attention to detail.
Must be able to lift up to 50 lbs.
Requires the ability to sit, stand, kneel, crawl, read, hear, and travel independently.
Must be physically and mentally capable of working in office, workshop, and job site environments, and comply with safety and operational standards.
