We are partnering with a well-established local construction contractor in Duluth, MN, to find a reliable Bookkeeper & Office Coordinator. If you love the satisfaction of a perfectly reconciled bank statement but also enjoy the variety of keeping a professional office humming, this is the role for you. You’ll spend about 80% of your time on the books and 20% helping with general office magic.
Working Hours: Monday-Friday 8:00AM - 4:30PM
What You’ll Do
As the financial backbone of the daily operations, you’ll keep everything moving forward. Your main tasks include:

- Financial Management: You will handle the full cycle of money coming in and going out, from entering bills and processing payments to creating invoices and following up on collections.
- Banking & Payroll: You’ll perform monthly bank and credit card reconciliations to ensure 100% accuracy and process employee payroll on time while keeping personnel files confidential.
- Project Tracking: You’ll perform "job costing" - analyzing costs for specific projects to help the team understand how profitable each job is.
- Customer Billing: You’ll process new customer orders and be the go-to person for any billing questions.
- Office Support: You’ll manage vendor relationships, provide friendly customer service over the phone, keep the filing systems (digital and physical) tidy, and keep office supplies stocked.
What We’re Looking For
We need someone who is detail-oriented and understands that integrity is everything when handling sensitive data.
- QuickBooks Expert: You have at least 2–3 years of hands-on experience with QuickBooks Desktop or Online.
- Bookkeeping Pro: You have a proven track record with bank reconciliations, payroll, and financial reporting.
- Highly Organized: You can juggle multiple deadlines without breaking a sweat or missing a detail.
- Great Communicator: You are professional and friendly when talking to teammates, vendors, and clients.
Bonus Points (Preferred)
- Advanced Microsoft Excel skills (pivot tables and formulas).
- You have prior experience specifically in job costing or cost accounting.
- You have a "no task too small" attitude and love solving problems before they grow.
