What You'll Do1. Event Planning & CoordinationBring Ideas to Life: Assist in planning and executing program events, engagement functions, and special celebrations. Keep Projects on Track: Coordinate event timelines, task lists, and milestones to ensure every deadline is seamlessly met. Manage Logistics: Handle vendor communications and coordinate critical logistics, including venue setups, catering, parking, signage, equipment, and event materials. Maintain Workflows: Keep event planning documents, checklists, and status reports up-to-date. 2. Communications & Marketing SupportSpread the Word: Draft and distribute event invitations, reminders, confirmations, and follow-ups. Digital Upkeep: Assist with event webpages, registration portals, and promotional materials. Showcase Highlights: Support social media efforts by gathering event photos, highlights, and updates, while collaborating with internal communications teams. 3. Onsite Event Day ExecutionBe the Face of the Event: Provide hands-on onsite support, including attendee registration, guest assistance, and troubleshooting. Setup & Breakdown: Assist with the physical setup and breakdown of event spaces, ensuring name badges, signage, and supplies are ready to go. Keep Things Moving: Help monitor schedules, assist speakers/presenters, and ensure a seamless experience for guests. 4. Administrative & OperationsTrack Details: Organize event files, track invoices, process purchase requests, and keep sponsorship records accurate. Analyze & Report: Help prepare post-event summaries, evaluations, and reports to measure success. Team Support: Pitch in on special administrative projects to support broader industry engagement initiatives.
