The Executive Administrative Assistant will perform a wide variety of complex administrative duties under the direct supervision of the Director of Policy & Program Administration. The Executive Administrative Assistant uses discretion and independent judgment to organize work effectively to meet critical administrative deadlines; completes projects and special assignments by establishing objectives, determining priorities, managing time, monitoring progress, problem solving and adjusting plans, documenting processes, finding efficiencies and managing communications to implement processes and very effective time management and communication skills for the organization.
Responsibilities:
Exercises discretion and independent judgment with respect to confidential matters.
Provides executive administrative support within the organization.
Maintains calendars including the organization of meetings, video conferences and teleconferences.
Coordinates intergovernmental engagement which includes scheduling, drafting of agenda?s, recording and promulgation of meeting minutes.
Maintains confidentiality of government and operational information.
Provides excellent customer service to internal and external stakeholders.
Assists in managing interoffice mail for Executives.
Takes and forwards accurate and succinct messages.
Creates, edit, and proof correspondence and reports independently.
Escalates problems or roadblocks to Executive Team to get resolution and direction as needed.
Coordinates travel for Executives.
Provides administrative support and coordination as needed.
Manages third-party hotel reservation requests.
Assists with special projects or other administrative duties as needed.
Other duties as assigned.
Working hours: 8:00 AM - 4:30 PM
Skills:
Government Office experience preferred.
High School Diploma or GED required.
Demonstrated experience in supporting management.
Local travel is occasionally required.
Possess a valid California Driver's License and be insurable by the Tribe.
Strong organizational skills and ability to prioritize multiple tasks seamlessly with strong attention to detail.
Demonstrated high level of time management skills and efficiency in office procedures.
High level of ability to act independently but maintain effective level of communication.
Demonstrated computer literacy, including proficiency in Microsoft Office software.
Excellent command of English language, spelling, grammar, and punctuation.
Very strong interpersonal and effective communication skills, both written and verbal.
Principles and practices of record keeping ability to maintain accurate and up to date files for the office.
Ability to exercise discretion, maintain strict confidentiality and always adhere to the Code of Ethics.

Qualifications:
Minimum of three to five (3-5) years working as an Executive Secretary, Executive Administrative Assistant.
