Our client near Southside is looking for a part time Office Manager. The Office Manager will process homeowner queries, amenity rental requests and support overall communication between homeowners, the HOA Board and all HOA Committees. Experience with managing reservations, regular communication with homeowners and overall computer skills is helpful.

Responsibilities:
Report directly to the HOA Board
Liaise with homeowners regarding inquiries, concerns, rental requests, ARC requests, etc.
Manage the on-boarding of new homeowners, collect information, update key fobs, grant website access, etc.
Communicate with our HOA Finance Management provider (PMSI)
Code and send vendor invoices to PMSI for payment
Receive monthly financial reports from PMSI and consolidate into 2 HOA reports
Assist with managing the HOA email inbox
Communicate with our vendors as needed, cleaning crew, pool maintenance, landscapers, etc.
Send vendor invoices for HOA Board approval
Ensure the amenities are tidy, report issues to the Board
Ensure monthly reports are posted to the HOA website, meeting minutes, financials, newsletters, etc.
Collect payments for amenity rentals, fines and key fob replacements
Maintain homeowner/property files, hard copy and electronic via Google Drive
Maintain the HOA website calendar
Maintain key fob access, new owners, deactivate when people move, activate amenities for rentals
Support owner requests to view public HOA files
Do additional duties as assigned
Working hours: 10:00 AM - 3:00 PM
Skills:
Administrative experience: 3 years
3+ years of experience in Office/Property Management role
Education:
Associate
Experience:
1-4 years
Qualifications:
Proficient in Microsoft Office products (Word, Excel)
Comfortable working with electronic records in Google Drive
Excellent verbal and written communication
Authorization to work in the USA is required
