On behalf of our client in Duluth, MN, we are seeking a versatile, reliable, and detail-oriented Part-Time Office Manager to join their team. We are looking for a dynamic candidate who excels at wearing multiple hats—from overseeing administrative and general bookkeeping functions to supporting import logistics, vendor communication, and providing top-notch customer service.

Key Responsibilities

- Office Administration & Operations: Manage day-to-day office operations, supply inventories, incoming/outgoing mail, and maintain an organized physical and digital filing system to support overall business flow.
- Financial Support & Bookkeeping: Oversee daily AP/AR processes, manage collections, issue client invoices, process vendor payments, maintain records in QuickBooks, and assist with account reconciliations and basic financial reporting.
- Logistics & Order Coordination: Support global sourcing and supply chain workflows, including tracking overseas/domestic shipments, monitoring order timelines, updating delivery statuses, and coordinating with logistics partners to ensure smooth transit.
- Customer & Vendor Relations: Serve as a primary point of contact for U.S. clients, overseas suppliers, and service providers. Provide professional customer service, handle routine inquiries, and facilitate proactive communication across time zones.
- Data Entry & Documentation: Perform accurate, high-speed data entry (using 10-key numeric input and Microsoft Office tools) to maintain import documentation, purchase orders, product specifications, and shipping records.
Qualifications & Requirements
- Experience: 2+ years of experience in an office management, administrative, or operational support role (experience within logistics, manufacturing, or international trade is a strong plus).
- Software Proficiency: Strong hands-on experience with Microsoft Office Suite (Excel, Word, Outlook) and general familiarity with QuickBooks or accounting/ERP software.
- Data & Numerical Accuracy: High attention to detail with strong 10-key skills and low error rates for accurate record-keeping.
- Communication & Problem-Solving: Excellent verbal and written communication skills to effectively liaise with clients, vendors, and internal teams.
- Key Traits: High reliability, self-motivation, adaptability to shifting priorities, strong organizational skills, and a desire for long-term stability in this role.
