Work Hours: Monday through Friday, 9:00 AM to 3:00 PM.
Responsibilities:
- Manage incoming and outgoing communications, including answering and directing phone calls, managing emails, and handling mail.
- Prepare, distribute, and track tenant notices, such as lease renewals, rent increase notifications, and eviction notices, ensuring timely and accurate delivery.
- Maintain organized physical and digital filing systems for tenant records, leases, vendor contracts, and other property-related documents.
- Assist with scheduling appointments, meetings, and property viewings for the Property Manager.
- Coordinate with maintenance staff and external vendors for repairs and services; dispatch work orders as needed.
- Order and maintain office supplies to ensure the office remains well-stocked.
- Provide general administrative support to promote the smooth operation of the property management office.
Skills & Qualifications:
- Proven experience in an administrative or secretarial role, preferably in a fast-paced office environment.
- Ability to handle sensitive information with discretion and confidentiality.
- Excellent verbal and written communication skills.
- Must be proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional organizational and time management abilities.
- Strong interpersonal skills and a professional demeanor.
- Ability to multitask and prioritize work effectively.
- High school diploma or equivalent required; associate's degree or higher preferred.
