The Wisconsin Department of Health Services (DHS), in partnership with Spherion, is seeking a highly organized, detail-focused, and tech-savvy Advanced Administrative Assistant to support the Bureau of Programs and Policy (BPP) and the Bureau of Quality and Oversight (BQO). Reporting to Internal Operations Manager, this position plays a key role in managing operational tasks, internal communications, and support services for bureau leadership and staff. Youll act as a central point of coordination across teams, managing multiple shared inboxes, supporting onboarding and tech logistics, and handling official Medicaid-related correspondence.
Youll also receive a State-provided home printer to manage and mail time-sensitive letters to Medicaid providers and recipients, ensuring timely and professional communication from the department.
Responsibilities:
- Manage shared email inboxes (HMO, Long Term Care, IRIS), triaging inquiries and routing them appropriately.
- Draft, format, and mail professional communications to Medicaid stakeholders using advanced MS Word skills and a home printer provided by the State.
- Schedule and coordinate meetings, take notes, and manage presentation materials and distribution.
- Oversee onboarding tasks including form submissions, equipment setup, and remote access for new hires.
- Maintain distribution lists, internal records, procedural documents, and SharePoint content.
- Serve as a resource for IT coordination, equipment tracking, and internal troubleshooting.
- Collaborate with a supportive team during a time of organizational transition, including a move to a new facility.
Qualifications:
- Expert-level proficiency in Microsoft Office, especially Word (styles, formatting, and templates).
- Strong writing, editing, and document preparation skills.
- Proven ability to work independently and maintain confidentiality in a remote work environment.
- Excellent multitasking, organization, and independent time management.
- Familiarity with Medicaid or healthcare programs and how they relate to HMOs is a plus.
- Tech-comfortable and able to navigate multiple systems for access, communication, and coordination.
