The Senior Administrative Specialist is a key member of the internal operations team, responsible for delivering high-quality administrative support across the organization. This role is highly collaborative and customer-focused, requiring strong attention to detail, initiative, and a solutions-oriented mindset. The ideal candidate thrives in a dynamic environment, balancing multiple tasks such as calendar coordination, visitor management, internal event support, supply management, and communication handling. With a blend of independent work and teamwork, the Administrative Specialist helps ensure smooth day-to-day operations while identifying opportunities for process improvement and efficiency.

- Pay rate: $23+

- Schedule: Monday-Friday, between 7:30 am and 5:00 pm
Responsibilities:
- Greet and assist staff, visitors, and vendors with professionalism and warmth
- Manage calendars, meeting logistics, guest check-ins, conference room setups, and parking coordination
- Handle supply ordering, mail/package distribution, and maintain inventory
- Triage phone calls, emails, and correspondence with prompt and courteous responses
- Maintain key administrative records (visitor logs, badge access, invoice tracking, etc.)
- Assist with onboarding/offboarding, security access, internal events, and occasional facilities tasks
- Prepare meeting materials, coordinate travel, and troubleshoot office equipment
- Support internal events including a silent auction and employee engagement activities
- Proactively identify ways to improve processes and enhance the employee and guest experience
- Occasionally lift/move supplies or office furniture (up to 40 lbs)
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent degree required, Associates or Bachelors degree preferred
- At least 5 years of experience in a professional, corporate environment.
- Strong customer service background (beyond retail/call center), with a focus on professionalism and cross functional collaboration
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).
- Strong written/verbal communication, organization, and time management skills.
- Detail-oriented, proactive, and adaptable in a dynamic, high-stakes environment and ability to work independently and as part of a team.
